Modify or Delete AND or OR Items via Addendum

Description

This function allows users to modify or delete the AND items associated with the as-designed or alternate item, as well as the alternate (OR) items themselves via an addendum. The function begins when the user creates an addendum and selects the as-designed (EITHER) item from the list of existing design items.

At any time after the addendum has been saved, a draft of the Addendum Report and Current Proposal Report .PDF's can be generated. A 'Pending Generation' label/link appears while the system creates and processes the report files. When completed, a document link appears that allows the user to view, download, or print the .PDF document.

Step-by-Step Directions

User Action	Result
From the Addendum screen, choose “Design Items” from the Add links and click the ADD button.	The Design Items screen is displayed. If this is the first item you are adding to the addendum, no records are displayed.
Click the EDIT button.	The screen switches to edit mode.
Click the ADD button.	The Add Item to List pop-up screen is displayed.
Choose the “Existing” radio button; enter the first two digits of the EITHER item in the Search for field, and click the SEARCH button.	The EITHER item is displayed in the Select from Current Design Item List pop-up screen.
Click the X in front of the EITHER item.	The item is moved to the “Selected Items” list box.
Click the OK button.	The Select from Current Design Item List pop-up screen closes, and you are returned to the Add Item to List pop-up screen with the EITHER item displayed at the bottom.
Click the MODIFY ROW button.	A ‘please wait’ message is displayed. When processing is complete, a ‘successful’ message is displayed.
Click OK on the message box.	The message box closes, and you are returned to the Add Item to List screen. The EITHER item information is displayed above the data entry fields at the bottom of the screen. Note: If you need to make additional item changes, you can stay on this screen and select another existing item to modify or delete, or choose a new item to add via the addendum.
Click the BACK button.	The Add Item to List screen closes, and you are returned to the Design Items screen. Note that the item you just selected for addendum processing is not displayed.
Click the REFRESH button.	The screen is refreshed, and the EITHER item, along with its associated ANDs and the alternate (OR/AND) items are displayed.
If you want to modify the quantity of one of the AND or OR items, or delete the item, click the Item Number hyperlink.	The Design Item detail screen is displayed.
Make the necessary changes and Save the screen. If you want to delete the item from the project, select the “Delete Item from Bid Package/ Proposal/Project" checkbox and save the screen.	The changes are saved.
Click the SAVE&EXIT button.	The detail screen closes, and you are returned to the Design Items screen. The Action column displays “Modified” if you made changes, or “Deleted” if you selected the “Delete from Bid Package….” checkbox. Note: If you want to add a new AND item, navigate to the Alternate Grouping screen (by clicking the Alternate code link on the Design Items screen) and use the Insert AND function on that screen to add the new AND item to the as-designed or alternate group.
Click the GENERATE REPORT button.	At any time after the addendum has been saved, a draft of the Addendum Report and Current Proposal Report .PDF's can be generated.
