View Construction Records

<BLOCKQUOTE>During the course of a construction project, PENNDOT must track many types of construction records, for example, materials disposition and shop drawing records. The Verification and Payments subsystem provides the Construction Records functionality to allow users to record and view basic record information, such as type, title, record date, and description, as well as tracking (review) information. The system also allows the user to create a link to an EDMS (Electronic Document Management System) document, which should be a scanned image of the hardcopy record.
<P><BR>The View Construction Records for a Project function is accessed from the My Projects page when the user selects the project, chooses ‘Construction Records’ from the Go links and clicks the Go button. This displays the Construction Records list, a screen displaying the type, title, and record date for each record. From the list, the user can link to a specific record by clicking the Type hyperlink.<BR><BR>Construction records can be viewed by all PENNDOT ECMS personnel. No access is granted to business partner or public users. </P></BLOCKQUOTE><BR>

Description

Step-by-Step Directions

User Action Result
Open your browser software and access the ECMS Welcome page. The ECMS Welcome page is displayed with the navigation bar on the left.
Using the Registered Users Login fields at the top of the navigation bar, enter your user ID and password. Click GO or tap the Enter key. The ECMS Welcome page appears. Your user name now appears at the top of the navigation bar, and the navigation bar options are tailored to your security group(s).
From the navigation bar, select the Contractor Services option. The Contractor Services option available to your user group are displayed.
Select the My Projects option beneath Contractor Services on the navigation bar. The My Projects page is displayed and lists the projects associated with your personalized search.
If desired, update your personalized search by clicking the Personalize Project Search link. The search fields are displayed and open for entry.
If needed, enter search criteria to narrow the displayed listing of projects, then click the REFRESH button. The My Projects page is updated based on the search criteria.
Locate the project for which you want to view Construction Records and select it by clicking in the checkbox. A ‘X’ appears in the selected checkbox.
Choose ‘Construction Records’ from the Go links and click the GO button. The Construction Records list is displayed. The list is ordered by Type and then by Title in ascending alphabetical order.
Click the Type hyperlink for the record you want to view. The Construction Record screen for the specified record is displayed.
View the record details. None
If applicable, view the Construction Item associated with the record by clicking the Item Number hyperlink. The Construction Item screen for the item/type is displayed.
If applicable, view the Item History for the Construction Item associated with the record by clicking the Item History icon. The Item History screen for the item/type is displayed.
If applicable, view the EDMS document linked to the record. See “How Do I View EDMS attachments” for details.
When you are finished reviewing the data, click the BACK button. The Construction Records list is re-displayed.
If desired, click the Type hyperlink for another Construction Record. The Construction Record Screen for the specified item/type is displayed.
Continue viewing records, or use the navigation bar to access other ECMS functions or to log out of the system.
